Parking Lot Update

Over the past several years, many CCH members have asked the Board when the parking lot will be repaired or resurfaced.  The limited reserves have been prioritized to ensure the pool is operational each year and this did not allow enough funds to fix the parking lot.

In September 2023, the Country Club Hills Pool will be getting a new parking lot! 

So how is the Board accomplishing this improvement?  Here are some Q&As that will help answer this question:

 

Q&A

Why are we now getting a new parking lot? 

Fairfax Water utility needs to upgrade the water systems in the Old Lee Hills Neighborhood.  An older, smaller water main pipe that runs along Daniel’s Run Creek has become exposed and presents a safety hazard.  The solution is to run a new, larger water main pipe from Tedrich Boulevard to Colony Road.  This will require then to run the new pipe under Daniel’s Run Creek and through the CCH parking lot.  Because the CCH parking lot will be ripped up to lay the pipe, Fairfax Water is planning to resurface the CCH parking lot for free.

 

How much would it cost us to replace the parking lot if we were to do so on our own? 

The most recent estimates the Board received to resurface our parking lot was over $100,000.   Over the past 10 years, the Board has been reluctant to make a special assessment of the Membership to raise the fund needed to make these repairs.

 

When will the construction begin and end? 

Fairfax Water is planning to start on Monday, September 18th.  This will allow the Pool Management Company (High Sierra) to winterize the pool after the swim season ends but before the construction begins.  Construction will be completed by the middle of November 2023.

 

Will the parking lot be accessible during the construction period?

No, the plans include digging up over half the parking lot to lay the pipe.  This will be a construction zone.

 

Will Fairfax Water restore the CCH property to its original conditions after the work has been completed?

Yes, Fairfax Water will make the CCH property look the same.  Currently no trees or bushes are planned to be disturbed or cut down during this construction.

 

Will CCH have to pay for any of the costs? 

CCH will not have to pay for the resurfaced parking lot.  However, the Board plans to have additional work done by the contractors who will repave the parking lot to improve the drainage ditch that runs down the parking lot near the CCH Bath House.  This will prevent further erosion of the soil for the foreseeable future. This additional work, as well as striping of the parking lot, will be paid for by CCH.

State of CCHRC 2023

The CCH Board and several volunteers worked hard in 2022 to make necessary repairs and keep the pool running. Our focus continues to be on the safety of each member and their guests, and how we can maintain or enhance membership value. More work is needed in 2023, but we believe CCHRC is in great shape and we are looking forward to reconnecting with you again in May for the 2023 season.

CCHRC is an all-volunteer lead community. Many individuals stepped up to volunteer their time and talents which contributed to our success this past year. There will be more opportunities to help keep CCHRC a place where everyone wants to come and enjoy time with family and friends. This includes help serving on the Board of Directors in 2023. Contact the President at president@cchpool.com to learn more about how you can get involved and the associated time commitment.

Here is a summary of the key accomplishments in 2022:

  • The membership grew with 92 new members joining; this growth was primarily family memberships.

  • We expanded the hours of operations to include opening at 10am on Sundays. Since this continues to be well received, especially for families with young children, the board has expanded the 10:00am early Sunday openings into 2023 for the entire swim season. In addition, for the 2023 season, the pool will open at 10:00am on Saturdays during the main season (unless there is a conflict with a swim meet).

  • The main pool required significant repairs and maintenance in 2022, including:

    • Repairing cracks in the pool walls due to ground erosion under the deck by reinforcing the pool shell with gravel this past spring.

    • Applying a new white coating (pool lining) this Fall.

    • Completing the upgrade of the in-water LED lighting, which has improved the water safety for our members.

  • A new water fountain was installed, which includes a water bottle fill option.

  • We replaced our internet router to help stabilize the internet connection.

  • A new all-weather Ping Pong table was donated by a member in 2022, and it was heavily used but the membership.

  • We painted the original fence around the pool area to mitigate rusting and extend its useful life.

  • We enhanced the CCHRC social events in 2022 to include more movie nights, hosting an adult party for members and guests, having an Ice Cream Social in early June, and hosting a brunch on a Sunday morning. More activities are planned in 2023 to provide fun for all ages.

  • We are continuing to clean up the date in our Membership Database.

  • We saw the membership fully embrace both the swim team program and the tennis program again this year. The swim team has more than 100 families participating with over 150 kids competing in the Northern Virginia Swim League (NVSL). The youth tennis program maxed out with 40 participants this summer, and we re-estabilished the adult tennis program with good participation.

  • The Board issued an End of Season Membership Survey to get input as to what CCHRC is doing well and what could be improved. There were over 77 members (20% of the membership), who responded and provided their feedback – Thank you!

As we look forward to 2023, we know there are some challenges that we need to address. This includes:

  • Installing a new pump in the Spring that will circulate the pool water

  • Reinforcing and lifting part of the pool deck that sunk to prevent tripping hazards and the ponding of water on the deck.

  • Painting the interior of the bathhouse.

  • Establishing Pickleball at CCHRC; the Board is seeking help for this endeavor. If you are interested, please let us know by emailing President@cchpool.com.

  • Replacing the parking lot in conjunction with work being done on the CCHRC property by the Fairfax Water utility. This work will be done in the Fall 2023, after the pool has closed for the season.

2021 Updates

May 26, 2021 Update

Hello CCH Pool Members,

Effective May 28th, CCH will be modifying our COVID Operating Rules to align with the changes being made in Virginia.  Capacity limits, COVID screening, pool time reservations, and social distancing will not be required by our members and guests.  However, we ask that you be respectful of other members who may feel the need to be more cautious with COVID prevention measures, including the need to social distance or wearing masks.   A full list of the updated pool rules will be posted to the CCH website in the next 24 hours.

As our pool community transitions into the new rules, we will continue to take the following preventative steps to ensure the safety of all members:

  • The Board encourages members to wear a mask when entering the main bath house.  This is for the protection and safety of our lifeguards and younger members who may not be vaccinated.

  • Hand sanitizer stations will still be available on deck.

  • Sanitizing wipes will be available at the guard station for members to use on the pool furniture.  If a member is uncomfortable using the pool furniture, they are allowed to bring their own lawn chairs.

  • Pool staff will continue to clean high touch areas every two hours.

  • Members must use the new sign-in process at the front desk.  Besides allowing only active members into the pool, this process is also to ensure we know who to contact if there is an issue with COVID.

  • No floats will be permitted in the pool at this time.

The Board is also adding back some operating pool hours this summer due to stronger than anticipated membership registration.   Starting June 18th, we plan to add back 5 hours each weekend (Friday to Sunday) until August 1st.  For each of these days we will close one hour later at 9:00 pm.  On Sundays, we will open 2 hours early at 10:00 am when many of our families with young children are ready to swim.

As a reminder, the pool will be closed Mondays to Thursdays before June 11th, and after August 23rd, with the exceptions of the pool being opened from 12:00 to 8:00 on Memorial Day and Labor Day.  For a full schedule of pool hours, please refer to the CCH Website.

The board will continue to monitor pool operations and makes changes as needed.

Membership Update

In preparation for opening weekend, we are asking all members to make sure they have updated their Membersplash account.
  
1.  Please make sure that all household members are listed in the account.  Members not listed in the account WILL NOT be able to check in to the pool.  

2.  Please make sure that you have uploaded a photo for everyone in your family.  This can most easily be done by logging in to Membersplash on your phone or iPad.  https://countryclubhills.membersplash.com.  Under Account Details, click Edit next to the name of the member.  The click on "Click to Upload Image".  You can choose a photo from your photo library, or click "take photo or video" and use the camera to take a photo.  You can then rotate it, or zoom in or out as needed.  If you don't have photos uploaded, the desk attendants will be taking them at the pool, but this will significantly slow the check in process.  If you have difficulty uploading a photo, please email membership@cchpool.com for assistance.

May 1, 2021 Update

Dear CCH Membership:

The deadline to pay your membership dues to avoid late fees is being extended one week to May 8, 2021. The Board has been working on finalizing the operating procedures to start the year and will be sharing them with the membership by Monday, May 3rd. We know some members want to better understand how we will operate before making any financial decision.

Clean-up Day is Saturday May 8th from 10:00 AM to 2:00 PM. We are identifying various tasks and projects that the members can do to help minimize our pool costs and to get CCH ready for opening day. All you need to do is come by between 10:00 and 2:00 and be ready to work. We have a special request for anyone who has a pick-up truck and would be willing to meet at the pool at 8:00 AM to go get free mulch at the Fairfax Transfer station, please contact Joe at President@cchpool.com

An Open House for potential new members is being scheduled for the first week of June. This will allow individuals to see the pool when it is open. If you know of anyone who is looking to join a pool, please have them reach out to our Membership Coordinator at membership@cchpool.com. Members who refer new members get a $25 referral credit!

Social Events are back! The Board is eager to provide opportunities for the membership to reconnect, all while socially distancing. Please mark your calendars for the following social events:

· Salsa Dancing and The Roaming Coyote Food Truck – The Old Lee Hill Civic Association is offering Salsa Lessons and dancing on Saturday, May 22nd from 4:00 to 7:00 PM on the CCH tennis courts, with the Roaming Coyote arriving at 5:00. Please register at https://forms.gle/uyTHSmH7WPUrmPtC9. This even will be free for CCH Pool Members, but sign up is required.
· Swim Team BBQ fundraiser – Come out on Sunday May 23rd for dinner to support our swim team and have some fantastic bar-b-que, cooked by one of our members. This event will be open to all community members, and will be dine-in at the pool or take-out. Please save the date and keep an eye out for more details!
· President’s Wine and Cheese – On Saturday, June 5th, the Board will be hosting this event on the tennis courts from 4:00 to 7:00 PM, with a food truck scheduled at 5:00 PM. A member has donated some wine, and we ask attendees to consider bringing wine for themselves and possibly some to share. The Board is working on safe snacks. Come out to meet your Board and reconnect with old friends.
· Movie Night will be Saturday, June 26th (Movie TBD). To accommodate the maximum number of members, we are planning to hold the movie night either in the lower grass area (outside of the pool fence) or on the tennis courts if the grass is too wet.

2/27/2021 UPDATE

First, we hope you are safe and healthy during these unprecedented times.  As all aspects of life have been impacted over the last year, CCH is no different.  Your CCH Board continues to navigate a very challenging operating environment due to COVID.  We have been working since the pool closed in September to be ready to open this summer and have developed the plan below.  Our community’s safety has been, and always will be, our first priority and we will continue to follow all Virginia state COVID guidelines for swimming pool operations.   We want to thank all of you who have continued to support CCH and value the pool’s role as a hub in our community.    

 

Last year, we were required to operate with a modified operating schedule and limited capacity in order to follow all Virginia safety guidelines.   Many members understandably chose to go inactive for the 2020 season due to the uncertainty and personal financial situations.  As a result, CCH absorbed the difference between lower membership revenue and the contracted expenditures, forcing us to dip into the pool’s financial reserves.  

 

As we start to look forward to warmer days at the pool, we know many members are eager to return to the pool safely.  The current board is working to balance the needs of the members with financial responsibility to the pool.  To that end, we are doing everything possible to keep membership rates reasonable in 2021 while providing as many operating hours as possible.   

 

We have successfully selected a new pool management company that will allow CCH to better control our largest cost.  This new contract is structured to provide more financial flexibility based on membership revenues in 2021.  We had to make hard decisions to cut operating hours initially, until we get a better understanding of how members will come back.  The base contract will allow us to operate on a reduced schedule, with the option to increase hours as membership revenues allow.  The initial contracted hours will include weekends only while school is in session after Memorial Day and the weeks leading up to Labor Day,  and operating hours of 12-8 daily while school is out.  We will have more clarity on our ability to add operating hours back in early May, once we know how many active memberships are paid.   All other operating costs are being held to a minimum. 

 

In addition to these challenges, Virginia has increased its minimum wage from $7.25 per hour to $9.50 per hour, a 31% increase in 2021.  We expect to see annual wage increases over the next five years as the state is targeting a $15.00 per hour minimum wage.   Pool management companies are passing on these labor cost increases to every pool in the Northern Virginia region.  As a result of all of these factors, we have made the difficult decision to increase pool dues by 20% in 2021.  This percentage increase is based on the pre-COVID membership rates.  We have looked at multiple alternatives and find this is the best balance between preserving membership value and financial solvency.  These plans will balance CCH’s short and long term future.  

 

In 2020, the Pool Board issued credits for those members who paid the “pre-COVID” rates prior to the rates being discounted.  We intend to honor these credits, but are asking that you consider donating these credits to help with our operating expenses in 2021.  Note that the credits issued in 2020 can only be used for active membership costs in 2021 (i.e. not for inactive fees for 2021) and will expire on September 30, 2021.   To donate, do not select the 2020 credit when you register for the 2021 season.  

 

This year, we will be managing our memberships in a different and a more efficient way.  We will be using MemberSplash, a web-based membership management system, to streamline how members register, make payments and reserve pool time (if needed).  New in 2021, members will (finally) be able to pay their dues online via credit cards.  You will be receiving a personalized email invitation to register for an account at MemberSplash and pay your 2021 dues in the coming days.

 

Finally, we know people will have a lot of questions about the 2021 swim season, the proposed rate structure, operating hours, etc.  The CCH Board will be holding two Town Hall Zoom Meetings to better explain the challenges we are facing and to answer questions about how the pool will operate in 2021.  These Zoom calls will be at on Sunday, March 7th and Wednesday, March 10th, both starting at 7:00 pm.  Please use the following link to join the Town Hall meetings.

8/3/2020 Update:

Hello CCH Pool Members,
We hope that everyone is enjoying their summer!  We have a few news items/announcements:

  • The pool will be closed tomorrow, Tuesday August 4th, due to Tropical Storm Isaias.  We will monitor the weather and let you know via Facebook (https://www.facebook.com/cchpool) if there are any changes.  

  • Due to the unusual conditions this summer, the board has decided to offer memberships for the remainder of the summer at a rate of $160 to currently inactive members.  This offer is not available for new members.  If you are still paying your initiation fee (IE in your first 3 years of membership), that $112 would be added to the $160.  If you have already paid your $60 inactive fee, that money would be subtracted from the amount owed.  Invoices will be sent to all members who are eligible for this rate.  However, you are welcome to write a check and mail it to:

  • Due to cost constraints, the pool will not be open past Labor Day this year.  Our last day of summer 2020 operations will be on Monday September 7th.

  • If you have decided to be inactive this year, please remember that you need to pay the $60 inactive fee if you have not done so already.  [Please contact treasurer@cchpool.com if you aren’t sure if you paid this fee.]  Aside from holding your membership for you and avoiding a reinstatement fee next year, the most important reason to pay this fee is to help the pool remain financially viable going forward.  Despite the pandemic and decreased active membership this year, the pool still has certain fixed costs associated with opening, maintenance, staffing, insurance, etc.  If your family has enjoyed the pool in the past, and plans to continue to enjoy the pool in the future, please do your part in ensuring it’s continued success by submitting your inactive fee.

7/27/2020 Update:

Hello CCH Pool Members,

We would like to reach out with a few updates and reminders.   Please read and share with your whole family!

We have met with Crystal Aquatics about the enforcement of pool rules, including long-standing rules and recent regulations put in place because of Covid.  Guards will more diligently be enforcing safety rules and Phase 3 guidelines.  To that end, we would like to remind members again of some of the rules that have not been followed recently:

  • Balls, floats, and toys are currently prohibited in the pool (other than puddle-jumper style devices for non-swimmers)

  • Guests are currently NOT allowed at the pool, even if they have been pool members other years.

  • The dive well is for diving ONLY.  The dive well CAN NOT be closed for play.  Also, swimmers are NOT permitted to be in the dive well while someone is going off the board.  Please go off the board and swim directly to the ladder to exit the pool.  The guards have the authority to close the dive well for a period of time if it is not being used safely.

  • ONE BOUNCE is all that is allowed on the diving board.  This is not an arbitrary rule.  It has to do with the depth of the dive well -- more bounces allow for more height, which could lead to injuries if the diver comes in contact with the bottom of the pool.

  • Please use the part of the pool that you sign up for. 
    Do not use a lane if you didn't sign up for one. 
    Please don't assume that an empty lane is "free" -- the member who signed up for it may just be running late. 
    Similarly, please don't sign up for a lane and then be in the General Admission part of the pool, as the number of people in there is limited for safety.

The pool board will be available again next Sunday, August 2nd, at 7 PM under the pavillion for member feedback or questions.  Feel free to come and talk to the board members about any concerns.

7/20/2020 Update:

Hello CCH Pool Members,
 
At this point in the season, we want to reach out to everyone about some safety reminders.  The pool board is taking steps to work more closely with Crystal Aquatics (our pool management company) to ensure that our members are safe, and that all rules are being followed.  However, members need to do their part to ensure that everyone at the pool can have a safe and enjoyable time.  To that end, we would like to remind everyone of a few things.
 
1.      Please remove yourself from the Signup Genius if you decide not to come to the pool.  This opens spots for those who would like to come, as well as maintains an accurate listing of who is at the pool in the event that we would need to do contact tracing.
2.     To ensure that everyone has a chance to enjoy the pool, members will now be limited to 3 time slots per day at the pool.  
3.     Guests ARE NOT allowed at the pool at this time.  Guests who arrive at the pool will not be permitted to enter.
4.     Please remember to use the area that you signed up for.  If you signed up for a lane, that is your space for that time.
5.     The general pool rules haven’t changed – no running on deck, no diving head-first outside of the dive well, and no going off the diving board while there is anyone in the water in the dive well.  Please click here to review pool rules. 
6.     At this time, the dive well can NOT be closed for people to swim/play in the dive well.  It is for diving off the board only.
7.     No floats or rafts are allowed at this time, with the exception of “puddle jumper” style floats to assist non-swimmers.
8.     No games or balls are allowed at this time, as throwing balls/objects between members could compromise social distancing.
9.     Please respect the guards and their authority while at the pool.  Feel free to speak to the manager on duty if there is an issue.
10.  The current rules for Phase 3 are posted on the bulletin board near the check in table.  If anyone hasn’t received them, please request a copy from membership@cchpool.com, or click here.  
11.  Please make sure you have read the rules, and that your children understand the rules, before going to the pool.  If your kids are at the pool without supervision, please insure that they understand and are abiding by all pool rules. 
 
Next Sunday, July 26th, the pool board invites the membership to an open forum at the pool from 7:30-8:00 PM under the pavilion.  We will be available to answer questions or listen to comments about how the season is going.  Please feel free to join us, just remember to wear masks and maintain social distancing.   You are also welcome to email membership@cchpool.com at any time with questions, concerns, or comments.

7/2/2020 Update:

Dear CCHRC Pool Members,
 
We are excited at the prospect of moving into Phase 3.  We have been working with our pool management company to develop guidelines that will allow for increased usage of the pool while still providing a safe and comfortable experience for our membership.  These guidelines are attached to this message click here.
 
Highlights of the changes allowed during Phase 3 include:

  • Free swim is explicitly allowed.  However, Virginia has clarified that “free swim” is an exercise-focused activity, as opposed to a play-based one.  Therefore activities such as playing games, and throwing objects amongst swimmers is still prohibited.  We will be creating a free swim area in the main pool body, as well as allowing members to freely move between the non-swim lane areas (diving well, shallow end, and main pool free swim zone.)

  • Related persons no longer need to stay 10 feet apart from one another in or out of the water.  Parents are free to assist children in the water.

  • Occupancy levels are increased.  We will be updating the Signup Genius to accommodate the increased number of members allowed in the pool.

  • The wading pool can be opened.  We will open the wading pool to two families at a time.  Registration for the wading pool will be added to the Signup Genius.

 
We continue to greatly appreciate your patience and understanding as we adapt to changing regulations and keep the pool open with your safety as our top priority.
 
We are also asking all members who have not yet received an updated invoice to contact the Treasurer at Treasurer@cchpool.com and please provide an updated email address.  Currently the database used for sending invoices is not the same as sending member communications (such as this letter), and we want to have up-to-date email addresses in both places.
 
For those members who are due a credit to reflect the difference between the adjusted dues rate and the amount paid, those credit amounts will be calculated and credited to your account by year-end.  Any questions related to the credit can be directed to the Treasurer.
 
Finally, we would like you to join us in welcoming three new members to the Board: Rebecca Bohrer, Deana McNeely, and Carol Fratangelo.  Rebecca has also agreed to be our new Treasurer, and Deana has taken on the responsibility of Membership.  All three have already provided invaluable guidance this season, and we welcome their further input.

6/22/2020 Update:

Dear CCHRC Pool Members,
 
Thank you to everyone who came out for opening weekend and helped make it a success.  Given how smoothly things went, we are tweaking the registration requirements.  Now, if there are open timeslots for the current day, members can register for more than one timeslot (which will not count towards the weekly limit.)  In addition to registering in advance, members can register for a timeslot in the next time period (if open) while they are at the pool.  We are making these changes to give members more flexibility and access to the pool.
 
We have been asked a few questions about the current procedures.  In the next section, we will answer some of the most common ones.
 
CCH Q&A:
 
Q:  If I am in a Family or Individual Lane, do I have to be swimming the entire time?
A:  No, the guidelines only require that a person in a swim lane be making “forward progress”.  So you can swim, walk, or do a crab craw – the only requirement is that you are moving forward and not staying still.  Although not stated, we think brief pauses for rest or hydration are permissible.
 
Q:  Can the diving well be open for swimming, or games?
A:  The guidelines specify that only diving is allowed in diving wells.  We have interpreted that to include jumping feet first off the diving board, in addition to diving head first.
 
Q:  If my family is the only occupant of a section (swim lane, diving well, or shallow end), can we play if we maintain the proper distance and contain it to our section?
A:  Free swim, which is loosely defined as play instead of exercise, is explicitly disallowed in Phase 2.  However, it is currently expected to be allowed in Phase 3.
 
Q:  Can I sit in the water in the shallow end?
A:  No, the guidelines are very clear that only swimming laps, instruction, and exercise are allowed during Phase 2.  Therefore the shallow end is to be used for exercise-based activities such as water aerobics, water yoga, and walking in place.
 
Q:  I am currently inactive, but now want to switch my status to active.  What do I need to do?
A:  Mail a payment to P.O. Box 303, Fairfax, VA 22038 for the amount of your adjusted dues rate, minus the inactive fee. (For example, a 3+ household would pay $395 - $60, or $335.)  Please note in the memo section that this is the “balance due for [membership class]”.

6/18/2020 Update:

Dear CCHRC Pool Members,

We are excited about our upcoming pool opening.  We as a board have been working hard with our management company to understand and implement all applicable guidelines for safety during this unprecedented time.  Your safety and comfort are our number one priority. 
 
We recently became aware that Fairfax County regulations are stricter than the State’s.  We are working to implement them before the pool opens this Saturday.  We are coordinating with our pool management company to adhere to these guidelines.  These regulations apply to Phase 2 only:

  1.  Due to not being able to insure consistent sanitizing of pool furniture, pool furniture will not be available during Phase 2.  However, you are more than welcome to bring your own chairs and take them with you when you leave.

  2. The pool will close for 30 minutes every 2 hours to insure that all high-touch surfaces have been properly and thoroughly disinfected by the pool management company.  This includes the bathrooms, ladders, diving board, etc.  All members will need to leave the facility at that time.  

  3. It has come to our attention that ALL POOL MEMBERS (even those within the same household) need to maintain a 10 foot distance WHEN IN THE WATER.  This is a change from what we had previously understood, and this includes parents and their children of all ages. Any child in the pool needs to be able to safely manage on their own without parental assistance.  If you are providing instruction to a swimmer, you also must maintain a 10 foot distance from that person.  On deck, only members of different households have to maintain the 10 foot distance.  

  4. In order to manage the number of patrons at the pool per county guidelines, we are going to implement a sign-up genius.  Members can sign up for a 55-minute time-slot.  Current guidelines allow for: 18 people in the lap lanes at a time (3 per lane); 3 people in the dive-well and taking turns going off the diving board; a maximum of 4 people in the shallow (2-foot) section of the pool doing exercise.  Three lanes will be designated as family lanes, you will sign up for a lane for your family, and you can rotate 3 family members at a time in the lane.  Three lanes will be designated for individual sign ups for lap swimming.  A link to the sign-up genius will be sent out to the membership by tomorrow (Friday) afternoon. 


    We understand that these changes differ in some ways from guidance we previously sent.  We apologize for any inconvenience or frustration this may cause.  These guidelines apply to Phase 2 only.  Phase 3 guidelines should be more relaxed and allow for more people in the water.  Pool board members will be available at the pool as much as possible this weekend to answer questions and address concerns.
